A private cosmetology school with ~80 students across two programs. The front desk juggles paper sign-in sheets, a separate waiver folder, a Shopify store for product sales, and an Excel file for attendance hours (students need 1,200 hours to test). The office manager spends 4+ hours a week reconciling hours for state reporting. The owner doesn't trust the cloud systems he's been pitched.
We build the stack in modules so nothing breaks at once. First: student management. A new student comes in, front desk stands them in front of the camera, the app snaps a photo, generates a barcode, prints a branded ID card. Student keeps the physical card or saves it to their phone. From day one, clocking in to class means scanning that barcode at a tablet mounted near the entrance. Out comes the same scan. Hours accumulate automatically, reported by week, month, year — exportable to a spreadsheet the moment state audits show up.
Then we add the walk-in flow: client comes in for a haircut from the student salon, signs the waiver on an iPad, the front desk sells a shampoo on the way out, all ringing up in the same app. The owner checks his phone on a Sunday and sees exactly what his week looked like. No spreadsheets, no paper, no “where's the sign-in sheet for October?”
